Job Responsibilities:
- Arrange and attend meetings, Record the meeting, compilation and circulation action plans and minutes
- Arrange the meeting within set timeframes
- Ensure that the minutes are as per the required standards and submitted within the set timeframes
- Ensure that the charters compiled as per the required standard and solemn affirmation forms are signed by SMT and EMT members timeously
- Compile performance contract, gather the PoE, ordering stationery, printing minutes, identifying required training
- Submit the performance contracts prior to the deadline; Ensure that the HoD sign the minutes timeously and adequate stationary is available to perform effectively
- Gather PoE timeously and submit PoE in compliant with the required standards
- Attend training in complaint with the CoGTA’s standards
- Liaise with Mangers regularly to confirm information captured on the documents
- Compile of the resolutions, follow-ups and updating of the list accordingly and timeously

- Arrange the meeting within set timeframes as per the directive of the HoD with respective departments
- Ensure the minutes are as per the required standards are submitted within the set timeframes to other sector departments
- Communicate with sector departments regularly.
Job Requirements:
- In-depth knowledge of government legislative frameworks such as the PFMA, Public Service Act, Treasury Regulations and various Acts that regulate the Public Service
- Knowledge of supply chain management, corporate services and financial and asset management procedures and processes in the public sector
- Good working knowledge of the Ministerial Handbook
- Strong administrative skills; Good verbal communication

Qualification & Experience:
- Matric plus NQF level 6/ National Diploma in Public Administration/ Office Management or relevant qualification, coupled with 3-5 years’ working experience in Secretariat Services, Administration, Secretarial or Executive Support
